Human Resources Management (HR)
Human Resources Management in a manufacturing plant includes many different agendas which serve different purposes. It is an app which can be run separately or coupled with other CLEVER systems.
Clever HR System is an open app which allows data sharing with other information system, e.g. personnel managements systems, order cost tracking tools, or wages calculator programs. This basic function can be extended by adding modules for particular functions.
Staff Identification
The first step in HR management is mapping the resources. Manufacturing plants usually use chips or barcode cards for this purpose. You can print barcode or chip cards using Clever HR.
Staff records provide a plant with the necessary input for tracking other agendas for individual workers and groups.
Training Records

Training records includes list of operating instructions and feature linking them to individual workers. This modules keeps track of employees´ training for particular operations at workstations.
Training levels are color coded.
You can view the link in two ways. You can view all operating instruction / certifications completed by an individual worker. When viewing an operating instruction you can view all the workers who have completed it.
If integrated with the Clever OMS app for creating and managing operating instructions, you can turn on an automatic call for new training in case a new version of a particular document has been approved.
Attendance Records
Attendance Records is the cornerstone of the attendance managements system. Recording comings and goings of employees is possible on unlimited number of terminals.

These can be simple card readers with a monitor or a touchscreen with customizable buttons.
On top of keeping records of employees and their assigned ID cards, the app also allows organizing employees into groups depending on the organization of the company (plant, hubs, etc.).
Every employee can be assigned a particular work calendar.
Attendance Management System
By default every record in the attendance records includes the personal information of the identifiers holder, his/her photograph and a history of past identifiers
One of the modules in the basic app allows printing barcode or chip cards. ID card readers are connected to terminals which can run both in Off-line and On-line modes .
The system is an open app which allows data sharing with other information system, e.g. personnel managements systems, order cost tracking tools, or wages calculator programs, which simplifies data flows, saves costs and time, and minimizes the number of errors in records.
Work Calendar
Each employee can be assigned an individual work calendar. It defines the number of hours to be worked in all the days in a particular year.
It can be created and managed directly in the attendance records app, or importer from other system. However, in case it has been imported, it cannot be altered in the system into which it has been imported. If it needs changing, it needs to be created anew in the other system with all the necessary changes and imported again.
This app allows to make both fixed or flexitime schedules for the employees. As opposed to regular work calendars it checks the hours worked and allows overtime and absences.
Export to Wage Management – Closing
It is used to check employees´ monthly attendance. This check compares the hours with the monthly hours allowance according to the work calendar. If the hours worked do not correspond to the hours in the calendar, it is not possible to close the month without correcting the attendance in the Attendance module. The resulting output is used as a source for accounting / wage management system.
Man-hour Records for Individual Orders
The main function of this model is tracking the time demands of orders.
This is achieved by placing barcode readers on the assembly line which log in employees and scan order identifiers when work is commenced. The collected data are displayed on appropriately placed information panels.
Workstation Staffing Records
Employees log in using terminals with touchscreens (they don´t need to use a keyboard).
The employee taps on the appropriate workstation and starts work by scanning his/her card. Login in to the workstation automatically ends his work on the previous workstation to which he/she was logged in.
Logging in to a workstation may have requirements – e.g. valid certification or passing ESD test.

Using this terminal the employee also confirms (and signs) the document on a completed training.
Bus Ride Records
Employees´ chip cards can be used to record their use of a company bus. The bus is equipped with a mini notebook with a card reader and the Identification Terminal app. After scanning an employee card the screen shows the information on the card´s validity and the named of the identifier holder.
These data together with the time of the ride are saved into a database and automatically passed to the Bus Ride Records app. This same process is also used to update the list of workers and their valid cards.
This app can also be augmented with automatic synchronization with other system – e.g. personnel administration.
Visitor Log Book
It is used to record visitors at the reception and assigning chips for opening doors.
Visitor Log Book module remembers past visits and can easily use the stored data for a repeated visits. It is possible to record visitors in advance and just confirm the visit when they arrive.
The Module also provides an overview of both ongoing and past visits in a given period including the tracking of doors opened by visitors´ cards.
Personal Bonuses and Monthly Remuneration
This module adds tool for processing monthly personal bonuses and one-off bonuses into the HR System.
Personal bonus is set individually as a percentage of the monthly wages and it can be cut according to the recorded monthly attendance in proportion to the value of other codes besides attendance.
The settings of the wage code for personal bonus allow to set how many days of work entitle a newly hired employee to a personal bonus. The resulting amount minus the other work codes can be further edited through a form in the tab for Personal compensation. It is also possible to define any number of forms for different reasons of additional cuts to personal bonuses in the agenda.
Access System Controlling Doors
Access System prevents unauthorized persons from accessing restricted areas.
This agenda defines employees´ authorization to pass individual doors controlled by chip cards. Each protected door has a card reader and a control unit.
Shift Planner
The planning agenda links the production schedule of the assembly line with employees´ calendars.
Each employee can only be assigned to one production schedule. The planning agenda focuses mostly on production schedules using three shift roster (morning – afternoon – night).
The module includes a visualization of weekly shift overview which allows you to change the employees´ shifts.
Notifications
This module allows you to send employees notifications displayed on the terminal which they use to confirm their attendance and log in to their workstations.
Employees confirm they have read the message using the same terminal. This way you can inform employees about a new version of operating instructions, a training invite, or cuts to their bonuses for infractions.
The messages can be sent to both individual employees and groups.
These notification can also be sent to employees´ e-mail addresses with a confirmation link included.
PTO Planner
This module adds the web app CLEA (Clever Assistant) to the HR System which alows you to plan PTO.
Its web user interface allows individual employees to request paid time off on particular dates and this request is escalated by e-mail to their supervisor. He/she can then approve or deny the request. The employee receives an e-mail with the approval or denial of the PTO request.
Supervisors can also assign their employees PTO directly. In such cases the employee does not need to confirm it and only receives an e-mail with notification about the planned PTO.
The PTO can be planned both individually and collectively for designated persons (e.g. mandatory time off during planned plant shutdowns).

Attendance Sheet
The Attendance Sheet may, just as the Notifications, include list of people to whom an invite will be send. This can be done either by selecting from available agendas (according to required criteria) or by importing from Excel (in a prescribed format).
The invites are sent using the Notification agenda to terminal. If an employee has an e-mail address in the Employees agenda, the invite is sent by e-mail as well. The employees confirm accepting the invite on the terminal using their personal chips, or by clicking on the confirmation link the received e-mail.
At an event employees can confirm their participation either using their personal chips, or by signing an attendance sheet. An authorized employee can then mark as present those who have signed the attendance sheet, but have not used their chip on the terminal to confirm their participation.
